Record a payment you received

There is no Mark as paid button. The invoice becomes Paid when the payments on it cover the total.

  1. Open an invoice that is Sent, Overdue, or Partially paid. An Admin sees Record payment.
  2. Click Record payment. The window is titled Record Payment.
  3. Set Payment Date, Payment Method, Reference Number, Amount Received, and Notes. Methods include Check, Cash, Wire Transfer, ACH, Credit Card, PayPal/Venmo, Zelle, and Other.
  4. Enter the amount you received. It can be less than the balance. Click Record Payment.

If the amount is only part of the total, the invoice becomes Partially paid. If the due date has already passed, the badge can say Overdue even though a payment is recorded. When the payments add up to the total, the badge becomes Paid.

A payment your client makes with Pay now is recorded for you. The invoice can show Processing while a bank payment is on the way. The note says funds typically clear in 3 to 5 business days, and the invoice updates to Paid once confirmed. A card payment that succeeds moves toward Paid without you typing it in.

You can tell a client has paid when the badge says Paid, or when a payment row is listed on the invoice. An online payment also emails your client with the subject Payment received and the invoice number. A payment you record by hand does not send that email.

What your client sees

They do not see the Record Payment window. After an online payment, they get the Payment received email, and the pay link no longer asks them to pay a finished invoice. A check or cash payment you record does not email them by itself.

Common questions

Record a payment for the remaining amount. When the payments cover the total, the status becomes Paid. There is no separate mark-as-paid action in Actions.

On the invoice, use Edit on that payment, or the trash icon named Delete payment. If nothing remains, a paid or partially paid invoice goes back to Sent.

No. Track and Invoice adds that payment. Use Record payment for money that did not come through Pay now.
