Create and send an invoice

  1. Open Invoices and click New Invoice.
  2. Under Invoice Details, choose a Client. You can also fill in Subject and PO / Contract # if you want them on the invoice.
  3. Check Invoice Date and Due Date. They start filled in. Change them if this job needs different dates.
  4. Add the work you are billing. Click Add custom line to type a line, or use Add unbilled time and Add unbilled items for work you already logged.
  5. Click Create Invoice. Track and Invoice saves a draft and opens it. Your client does not get an email yet.
  6. When the draft looks right, click Send invoice.
  7. In Send invoice by email, check To, Subject, and Optional message. Turn on Send me a copy if you want a copy in your own inbox. If online payments are turned on, you can check Include Pay Now link.
  8. Click Preview & Send. Look over the email, then click Confirm and send.

What your client sees

Your client gets an email with the invoice attached. If you checked Include Pay Now link, the email also has a Pay now button. On the invoice, your client is labeled Bill To. Nothing is charged when you send. You can look at the email, the pay page, and the PDF first. To check before you send, open See what your client sees.

Common questions

Only the internal notes can be changed after an invoice is sent. If something is wrong, see [Fix a mistake on a sent invoice](/help/fix-a-mistake-on-a-sent-invoice).

The send window says to enter a recipient. Type the address in **To**. Changing **To** does not update the client record.

No. Sending only emails the invoice. Your client pays later if you included **Pay now**, or by the other payment instructions on the invoice.
