Create and send a quote
- Go to Quotes and click New Quote.
- Choose Client. Add the lines, the same way you add lines on an invoice.
- Set Quote Date and Valid Until. Valid Until is how long the quote can be accepted. If you leave it blank, send will ask for it and can fill it from Quotes expire after in Settings, then Invoices & Quotes.
- Subject is optional. Tax Rate % is optional. Quote Layout starts on Use company default.
- Add Shipping or an adjustment if you need them. Notes and Terms are shown to the client. Internal Notes, not shown to client stays with you.
- Click Create Quote.
- On the quote, click Preview as client to open the page your client will see. On a phone, Preview as client is inside Actions.
- Click Send quote. The window is titled Send quote by email.
- Check To, Subject, and Message (note to client). You can check Send me a copy. The subject starts as Quote QUO-2026-0001 from your company name, using your real quote number and company.
- Click Preview & Send, review the email and the attached quote, then click Send.
An Admin sends the quote. Your email must be confirmed first, the same as sending an invoice.
What your client sees
Your client gets an email with the subject you send and a link to the quote. The page shows Bill To, the lines, Quote Date, Valid Until, Notes, and Terms. They can accept, request changes, or decline. Internal Notes are not on that page.
Common questions
Send quote shows Valid Until and says it is required before the quote can be sent. The date can start from the number of days in Quote Terms.
Open Actions and click Revise quote. The client's link says the quote is being updated until you send it again.
New quotes copy the terms under Settings, then Invoices & Quotes, in Quote Terms. You can edit Terms on this quote before you send it.
