Your reports explained

Open Reports. An Admin sees the full list. On a phone the list is a dropdown. On a larger screen it is the sidebar.

Most reports use This month, This quarter, This year, or Custom. Sales tax summary, Taxable sales detail, Reimbursable summary, and Annual income summary also have Tax year. Invoice cost breakdown and How we calculate do not use those date buttons.

Export CSV downloads the report you are viewing. How we calculate has no export button. An Admin also sees Export Receipts, except on Invoice cost breakdown.

Overview shows hours, items, invoiced revenue, and what is still owed for the dates you picked.

Profitability

  1. P&L summary shows Revenue invoiced and Total expenses.
  2. Project profitability shows Projects, Total revenue, and Avg project value.
  3. Item sales & profit lists what you billed on issued invoices, with cost and markup for you.
  4. Invoice cost breakdown is one invoice. Choose Client, then Invoice. It shows cost, markup, subtotal, tax, and total. Shipping and a non-zero adjustment are their own rows.

Billing & Revenue

  1. Invoice aging groups what is still owed: Current, 1 to 30 days, 31 to 60 days, and 60+ days.
  2. Revenue by client shows Clients billed, Total invoiced, and Avg per client.
  3. Payments collected shows Collected (this period) and Avg per payment, by the payment date.
  4. Client statements stay empty until you pick a client. Then you see that client's invoices and balance.

Time

  1. Billable vs non-billable shows Total Hours, Billable Hours, and Non-Billable Hours.
  2. Time by client & project groups those hours by client and project.
  3. Team utilization shows each person, Hours tracked, Billable hrs, Billable %, and Revenue attributed.
  4. Hours over time shows the same hours by Daily or Weekly. Show non-billable adds the non-billable column.

Tax prep

  1. Annual income summary is invoiced income for the dates you picked.
  2. Expense by category groups items by category.
  3. Mileage log lists items whose subcategory is Mileage, with Total miles and Total amount.
  4. Sales tax summary shows Total tax charged, then Tax name, Rate, Taxable amount, Tax charged, and # Invoices.
  5. Taxable sales detail shows Taxable Sales and Non-Taxable Sales by invoice.
  6. Reimbursable summary lists reimbursable purchases billed to clients. The note says they are pass-through costs and to confirm specifics with your tax advisor.

How we calculate explains revenue, collected payments, and outstanding balances in plain language. It is not a data report.

A person who is not an Admin sees My Overview, then Billable vs non-billable, Time by client & project, Hours over time, and My items & expenses. Those use that person's own time and items.

Common questions

Revenue is the line amounts. Sales tax summary is where Tax charged is listed. The invoice total, including tax, is what the client owes.

Click Export CSV. An Admin can also click Export Receipts on the reports that show that button.
